As a professional services firm specializing in tax reduction and recovery for small businesses and governmental/non-profit agencies, we’ve experienced significant growth in recent years. This growth, while exciting, presented us with the challenge of scaling our operations while maintaining efficiency and accuracy. Our legacy systems, which included disparate platforms like QuickBooks for financials, outsourced payroll, a separate timekeeping system, a different project management system, and manual HR processes, were no longer sufficient. We needed a robust, integrated solution to streamline our processes and provide the foundation for continued expansion. With projects recurring annually but without standardized due dates and tasks, we required a flexible and customizable solution to manage our unique workflow. Our goals were to automate as many processes as possible, consolidate our systems under one roof, and gain better visibility into our project statuses, profitability, revenue forecasting, and staffing hours, all to support our anticipated growth.
Our NetSuite Implementation Journey
We began our NetSuite implementation in April 2024 and are now nearly a year into the transition. While the journey has been transformative, it hasn’t been without its challenges and valuable lessons.
Key Benefits Realized:
- Consolidated Platform: NetSuite has enabled us to manage nearly all aspects of our business within a single system, including finance, payroll, project management, timekeeping, and HR. This has drastically reduced the need to jump between multiple systems, saving time and reducing errors.
- Enhanced Automation: We’ve achieved significant automation, saving countless hours and increasing confidence in our processes. Automating tasks like time sheet reminders and employee anniversary notifications has freed up our team to focus on more strategic work.
- Improved Visibility: NetSuite provides real-time insights into project statuses, profitability, revenue forecasting, and staffing hours, empowering us to make data-driven decisions. This has allowed us to better anticipate resource needs and optimize project management.
Lessons Learned:
- The Power and Complexity of NetSuite: NetSuite is an incredibly powerful platform. However, its customization often requires a “programming” type skillset that we lacked in-house. We quickly realized that achieving the level of customization we needed would require external expertise.
- The Importance of a Strong Implementation Partner: We encountered challenges with the initial NetSuite implementation team and their post-implementation support. Recognizing the need for specialized expertise, we partnered with Protelo, a California-based NetSuite consulting firm. This partnership has been invaluable.
- The Value of Customization: Protelo has helped us unlock the full potential of NetSuite by creating customized automations, reminders, notifications, and dashboards tailored to our specific business needs. From basic automations and reminders such as time keeping submission and review, employee anniversaries / birthdays, to detailed project reminders, notifications, dashboards, etc., the Protelo team has helped us realize the robust capability of NetSuite, and to customize it to meet our specific requirements.
- The Investment in Future Growth: Implementing NetSuite requires a significant investment in time and resources. However, we are confident that this investment will yield substantial returns as we continue to grow and scale our business. This is an investment in our future, and we are already seeing the benefits in increased efficiency and improved data accuracy.
- Hindsight is 20/20: As with any major implementation, there are a few minor things we would have done differently knowing what we know now. However, these are minor adjustments, and overall, we are extremely pleased with the results.
